Moving a booking to another class

Move a booker to a different class when they signed up to the wrong one.

When a booker accidentally lands on the wrong class — wrong site, wrong age group, wrong day — you can move them instead of asking them to cancel and rebook. The booking reference, what they paid, and any voucher they used all travel with them.

Who can move bookings

Admins only. Members of the company will see the booking detail page but no Move button.

How to move a booking

  1. Open the booking from the dashboard (Bookings list, or via the class detail page).
  2. In the Actions section, click "Move to another class".
  3. Pick a destination class from the dropdown. Only classes in this company with at least one future session are listed.
  4. If the booking is pay-as-you-go, tick exactly the same number of sessions on the destination class as the booker had on the original. Whole-class bookings skip this step and attend all sessions of the new class.
  5. Click "Move booking". You'll see a spinner while it processes, then a confirmation.

What carries forward, what doesn't

  • Booking reference (BA-XXXXXX) — unchanged. The booker can still look up the booking with it.
  • Status (confirmed / payment-pending) — unchanged.
  • What they paid — unchanged. We don't take a top-up if the new class is more expensive, and we don't auto-refund the difference if it's cheaper. Issue a refund manually if you want to credit the difference.
  • Voucher snapshot — unchanged. The voucher was redeemed at booking time; that's a closed transaction. We don't re-validate the voucher against the new class or decrement its redemption count.
  • Any add-ons purchased — unchanged.
  • Booking field values (child name, allergies, etc.) — unchanged.
  • Attendance marks — RESET. Any "present" / "absent" marks against old-class sessions are deleted. The booker shows up unmarked on the new class's register.

Capacity is ignored

The destination class's "maximum participants" limit doesn't block a move. This is intentional — moving is an admin override. You can land a booker on a class that's already full if you're OK with going over.

Movable booking statuses

You can move a booking that's confirmed or payment-pending. Cancelled, declined, and incomplete bookings can't be moved — those bookers should rebook from scratch.

What the booker sees

They get an email titled "Your booking has been moved" showing a Before and After panel side by side: old class name, location, and upcoming sessions on one side; new class details on the other. Anything that changed is flagged with a small "changed" pill, so they can scan it quickly. They keep the same booking reference.

Important

Refunds and top-up payments are NOT handled by the move flow. If the new class costs less and you want to refund the difference, use the Refunds flow. If it costs more, contact the booker directly to arrange the extra payment — Bookabee doesn't take additional payment as part of a move.
