Managing Bookings

View, cancel, and manage bookings for your classes.

You can view and manage all bookings across your classes from the Bookings section, or see bookings for a specific class on the class detail page.

Viewing bookings

Each booking shows the booker's name, email, booking reference (e.g. BA-A1B2C3), status, and booking date. If you've configured additional booking fields, you can expand each row to see the field values.

Booking statuses

  • Confirmed — the booking is active and payment (if applicable) has been received.
  • Pending — the parent started the checkout process but hasn't completed payment. The spot is held for 30 minutes.
  • Incomplete — the parent started a booking but didn't finish paying. The spot has been released; the parent has been emailed a link to complete payment.
  • Declined — the parent's card was rejected when they tried to pay. The spot has been released.
  • Cancelled — the booking was cancelled by the parent or by you.

Actions you can take

  • Cancel a booking — marks the booking as cancelled. The parent will be notified. You can optionally issue a refund as part of the same step.
  • Issue a refund without cancelling — refund all or some of the class price while keeping the place active. See the Refunds article.
  • Edit which sessions the booking covers — for PAYG-enabled classes only. Move a booker between sessions, or mark them as not attending a session to free the slot. See the "Editing which sessions a booking covers" article.
  • Move to another class — relocate a booker who landed on the wrong class. See the "Moving a booking" article.
  • Delete a booking — permanently removes the booking from the system.
  • Resend confirmation — sends the booking confirmation email again.
  • Add a manual booking — create a booking on behalf of a parent (e.g. for phone bookings).

Note

You can add manual bookings from the class detail page. The class must have at least one future session.
