Download one class's attendee list, or a company-wide set of spreadsheets covering occupancy and revenue.
There are two exports in Bookabee, for two different jobs. The per-class download gives you an attendee list to work from. The Export tab gives you your whole business as spreadsheets, for looking at how it's doing.
On any class detail page, the Download button gives you that class's bookings as a CSV or PDF — booking reference, name, email, phone, status, booking date, and every answer you collect about the child. This is the one to print for a coach or hand to a venue.
The Export tab in your dashboard covers every class at once, in three files at three levels of detail. Downloading everything gives you a zip containing all of them plus a plain-English guide to the columns.
There's a toggle for including archived classes, which are left out by default.
This is the one thing worth understanding before you analyse anything. In sessions.csv, a booking's value is spread across the sessions it covers and dated by when each session runs. In bookings.csv, the whole value lands on the day the booking was made.
A ten-week term sold as one payment in August therefore appears once in August in bookings.csv, and spread across ten weeks from September in sessions.csv. Both are correct — they answer different questions ("what did I sell this month?" versus "what am I delivering this month?"). Adding them together, or trying to reconcile them into one figure, will give you a number that means nothing.
Important
A blank cell means "no answer", not zero. A class with no capacity limit has no occupancy figure; a class nobody viewed has no conversion rate. Treating those blanks as zeroes will drag down every average you calculate.
Your costs aren't in here — venue hire, staff, equipment and insurance all live outside Bookabee, so no export can speak to profit, only to income. Every row in every file carries a Class ID, which is how you join the files to each other and to your own cost spreadsheet.
Admins and members. Assistants can't use either export, because every report carries revenue figures their role doesn't show.
Tip
The export was built to be handed to an AI for analysis. Download everything as a zip, upload the whole thing, and include read-me-first.md — without it, an AI will guess at what a column like "Revenue" means and answer confidently on the wrong basis.
