Understanding class booking status

The canonical list of class booking statuses, what each means, and what to change to unblock a Closed class.

Every class shows a Booking Status — both as a pill on the classes list and as a card at the top of the class detail page. It tells you, at a glance, whether the class is currently bookable, and if not, why.

Note

Visibility and Booking Status are two separate things. Visibility (Hidden / Unlisted / Public) controls WHO can find the class. Booking Status (Open / Partially full / Full / Closed · …) controls WHETHER bookings are being accepted right now. A Public class can still be Closed (e.g. its first session has passed), and an Unlisted class can be Open — bookers with the direct link can still book it.

The full list

  • **Open** — the class is bookable now and has capacity available.
  • **Partially full** — some sessions of the class are at capacity but others still have spaces. Only happens on pay-as-you-go classes, where bookers can pick individual sessions to attend.
  • **Full · waitlist open** — every session is at capacity AND the waitlist is enabled. Bookers see a "Join waitlist" button instead of "Book now".
  • **Full** — every session is at capacity and there's no waitlist. Bookers see a "Class full" message.
  • **Closed · hidden** — the class's Visibility is set to Hidden. Only people in your company can reach the booking URL.
  • **Closed · opens DD MMM YYYY** — the class has a "Booking opens at" date set in the future. Bookers see when it'll open but can't book yet.
  • **Closed · first session past** — the first session has already started AND mid-session booking is off. Bookers can no longer join.
  • **Closed · no future sessions** — mid-session booking is ON, but every remaining session has already started. Nothing is left to book.
  • **Closed · ended** — every session of the class is in the past. The class is over.
  • **No sessions** — the class has no sessions scheduled. Add at least one before bookers can find or book it.

How to unblock each Closed state

  • **Closed · hidden** — open the Visibility card on the class detail page and switch to Unlisted (link-only) or Public (listed). Going to Public runs the publish checklist first; see "Publishing, unlisting, and hiding classes" for details.
  • **Closed · opens DD MMM YYYY** — edit the class and clear or move the "Booking opens at" date in Class Details. Leaving it blank opens booking immediately.
  • **Closed · first session past** — turn on "Mid-session booking allowed" in Class Settings. Bookers will be able to join even after the class has started; the price is automatically pro-rated by remaining sessions.
  • **Closed · no future sessions** — add more sessions via "+ Add sessions" on the class detail page.
  • **Closed · ended** — the class is over. To run it again, duplicate the class with a fresh schedule (see "Duplicating a Class").
  • **No sessions** — click "+ Add sessions" on the class detail page to schedule sessions.

What to do about Full or Partially full

  • **Full** — increase the class's "Maximum participants" in Class Details, OR enable the Waitlist so bookers can register interest in spots that may open up.
  • **Partially full** — bookers can still book the sessions that have space; no action required unless you want to add capacity. Increase "Maximum participants" to free more spots per session. Bookers see exactly which sessions are full when they pick.

Tip

On the class detail page, the Booking Status card shows both the label AND the reason — e.g. "Closed · first session past" — so you can fix the cause directly. The same pill is shown on the classes list and on the class's public page.

How capacity is counted

Whether a class is Open, Partially full, or Full depends on per-session coverage when pay-as-you-go is on, and on class-level coverage otherwise.

  • On non-PAYG classes, every whole-class booking takes one spot in every session — so Full means the class booking count has reached "Maximum participants".
  • On PAYG classes, each session is counted independently. A class with 5 sessions and a 10-person cap has 50 session-seats; the Capacity card on the class detail page shows utilisation as a percentage.
  • Pending bookings (parents mid-checkout) hold their spot for 30 minutes and DO count toward capacity during that window. Incomplete, declined, and cancelled bookings do not.
